Documents have multiple purposes. They are used by many tools. They can be added by members. Below is a list of some of the features of documents.
Documents can be assigned to members. This can be done per a member or for all members in a membership. When assigned a copy of the document is created and assigned to the member allowing them to edit it without affecting the original copy.
Members can create their own documents.
Documents can be locked where others cannot edit it.
Documents can be confidential. The admin can see confidential documents of members. Members cannot see confidential documents even if they belong to a public category. Admin's cannot see confidential documents belonging to other admins.
Documents can be used as announcements and you can track who has opened it.
Tools Using Documents
Many tools use documents. Below is a list showing how it is used by different tools.
Quiz Tool - Documents are used for assigning quiz questions to allowing you to create quizzes with multiple questions.
Study Tool - Documents are used for creating study lesson assignments. Documents also are used for assigning vocabulary questions to it and creating a vocabulary quiz similar to the quiz tool.
Q&A Tool - Documents can have questions assigned to them creating a knowledge base.
Task Management Tool - Documents can be timed into for tracking time spent in training.
Differences Between Documents and Resources
Documents in many ways are similar to resource pages. However, their purpose is different and some of the differences include:
Members can create documents. They cannot create resource pages.
Documents can be assigned to members. Resources cannot.
Documents are used for some functions like announcements. Resources are not.
Resources can easily have custom icons. Documents also can but it requires html edits to do so and is not easy like resources.
Both resource pages and resource categories can be assigned to memberships. Only document categories can be assigned to memberships.
Documents can have categories and sub categories. Resources only have categories.
Resource categories can have icons. Documents cannot.
Documents are more geared towards training materials. Resources are more geared towards informational members area pages.
Documents track when they were added and last updated. Resources do not.
Documents are more suited for adding custom, WYSIWYG editable content to existing pages (if not using the landing page approach).
